Travel Pilot operates TravelPilot AI and is the data controller for account and usage data described here. For client records that agents enter, the agency decides how that data is used and we process it on their behalf.
Data we collect and why
- Account data (name, email, password credentials) — to create and secure your account (contract).
- Workspace content (client contact details, trip requests, proposals, follow-ups) — to provide the Service (contract). We do not collect passport or payment card details in the app.
- Usage and device data (IP address, browser, logs) — for security, fraud prevention and improving the Service (legitimate interests).
- Support messages — to answer your requests (contract / legitimate interests).
Who we share it with
- Service providers that host and run the Service, including hosting, email delivery and AI processing providers.
- Paddle, our Merchant of Record, for the sale of subscriptions, payments, tax compliance and invoicing.
- Professional advisers (legal, accounting) where needed.
- Authorities where required by law.
Some providers may process data outside your country; we rely on appropriate safeguards such as standard contractual clauses.
Retention
We keep data while your account is active and for up to 30 days after closure, unless the law requires longer. After that it is deleted or anonymised.
Your rights
Depending on where you live, you may access, correct, delete, restrict or export your data, object to processing, withdraw consent, and complain to your data protection authority. We respond within one month.
Security
We use encryption in transit, access controls and workspace isolation so each agency's data is private to its members.
Cookies
We use only essential storage needed to keep you signed in. We do not use advertising cookies.
