Data Privacy

TravelPilot AI is software from Travel Pilot for independent travel agents. Each agency's data lives in its own private workspace. This page summarises how we handle it. The full legal terms are in our Privacy Policy.

What we store

• Your account details: name, email address and sign-in information.
• Client contact details that agents enter: name, email, phone and notes.
• Trip requests, proposals, itineraries, prices that agents enter, and follow-up drafts.
• Activity history for your workspace, such as who approved a proposal and when.

What we never collect

• Passport or national ID numbers.
• Payment card details for travellers. TravelPilot doesn't take traveller payments.
• Your subscription card details. Paddle collects and stores those, not Travel Pilot.

AI drafting

When an agent clicks "Draft with AI", the trip request, preferences and source links are sent to our AI provider to create an editable draft. Drafts are clearly marked unverified. We don't use your data to train models.

Emails

Follow-up reminders are only emailed when an agent approves them and clicks Send. They come from notify.travelpilot.agency.

Your control

Agency owners can edit or delete client records at any time. To export or permanently delete a workspace, contact Travel Pilot through travelpilot.agency.
